Ask for one written quote covering the date, venue, headcount, table allocation, minimum spend, deposit, additional charges, arrival deadline and cancellation terms. An enquiry or a promotional screenshot is not a confirmed reservation.
Give the booking team a usable brief
Start with the full date, venue and confirmed number of guests. Add the occasion, approximate budget and any seating preference that genuinely matters. Be honest about uncertain numbers: “six confirmed, two undecided” is more useful than asking for eight and quietly hoping everyone comes.
One person should own the conversation. If several guests contact different numbers, you can end up comparing quotes for different tables or events without realising it. Keep the final agreed version together with the venue’s official contact details.
Separate the minimum spend from the deposit
Ask what each number means in this booking. A minimum spend describes a required level of spending under the venue’s terms; a deposit is money requested in advance. Do not assume the deposit is additional to the minimum, or that it automatically counts towards it. Ask the team to state the relationship clearly.
Then ask which purchases count, whether taxes or service charges are included, and whether any unused amount is refundable or forfeited. If a quote uses the word “redeemable”, get the conditions. The amount alone cannot tell you whether two offers are comparable.
Check the table, not just its category
Ask how many people can sit, where the table is and whether that position is confirmed. For a restaurant, check the sitting duration. For a club, ask about the arrival deadline and what happens if the group is late. If a view, stage position or particular section is essential, put it into the request.
A photograph can show the venue beautifully while saying nothing about your allocated table. Ask for a clear description or a venue-provided plan if needed. If the team can only record a preference, decide whether you would still be happy with the booking if that preference cannot be met.
Agree what happens when the plan changes
Before paying, ask how a smaller or larger group changes the quote. Confirm the cancellation deadline, refund conditions and any event-specific exceptions. If guests will arrive separately, check the process and whether the lead guest must be present.
For birthdays, ask about cake, decorations and any outside-item charge. For a performance-led night, ask what happens if the programme changes. These are not predictions that something will go wrong; they are the details that let everyone decide whether the booking suits them.
A message you can adapt
“Hi, we are looking for a table at [venue] on [full date] for [confirmed guests]. Our approximate total budget is [amount]. Please confirm the table area and capacity, minimum spend, deposit and whether it counts towards the spend, any extra charges, latest arrival time, entry requirements and cancellation terms. We also need to know [one important request]. Thank you.”
Replace the brackets and keep the request specific. Once you receive the answer, summarise the total commitment to the group before paying. Confirm the payment recipient through the venue’s official channel and save the receipt alongside the reservation reference.
How this applies to WHITE
WHITE is our booking partner. We may earn commission on eligible bookings, but we do not publish a universal table price or promise a particular allocation. The date, group and offered table need their own confirmation.
The website currently prepares preview enquiries only; they are not sent or saved. For a live arrangement now, use the official venue contact. Whatever channel you use, a prepared message is just the beginning. The useful finish is a clear confirmation that matches what the group agreed.

Quick answers
Is a deposit the same as a minimum spend?
No. Ask how the deposit is treated within the specific booking and what spending counts towards the minimum.
What should I keep after booking?
Save the written terms, reservation reference, payment receipt, venue contact and any confirmed changes to the headcount or arrival.
